Software Renewal Program

Introducing a New Renewal Program for ClerkBooks Utility Billing and Closing Tools Modules.

All software (Windows, Microsoft Office, QuickBooks, etc) eventually expires and requires an upgrade. However, our ClerkBooks modules have been in use for 15 years and we have never charged an upgrade fee. Unfortunately, that has to change. Starting January 1st, 2021 ClerkBooks will start charging an annual renewal fee for access to our modules.

Anyone who started using ClerkBooks before February of 2015 will get an invoice for renewal in January, 2021.

Anyone whose install was in February of 2015, or later, will receive their first annual renewal invoice 5 years after their install, on the anniversary month of your installation.

Annual Renewal Fee Rates

Don’t worry, it sounds worse than it is. Our current price for the Utility Billing module is $450 with a required upgrade every 5 years.

The current price for the Closing Tools module is $250 with a required upgrade every 5 years.

The new Annual Renewal fees will be $100 per year for the Utility Billing module and $50 per year for the Closing Tools module.

This is a $50 increase (over 5 years) for the Utility Billing module and no increase for the Closing Tools module. It is just billed annually, rather than every 5 years.

Why Annually?

Quite honestly, it is easier for us to remember to bill the same amount every year than it is to remember to bill once every 5 years. I would assume it will also be easier for you to budget a smaller annual fee rather than a larger fee every five years as well.

What Are You Paying For?

Everyone’s renewal fees will cover about 6 to 8 months of software development costs each year. Even though we don’t release new versions every year like QuickBooks does; over the last 15 years we have released almost 100 updates and upgrades. Some of the key features we have added to the Utility Billing include:

  • Automatic estimation of readings
  • High/Low warnings
  • Customer messages
  • Due after due date message
  • Previous balance message

  • Ability to create invoices by zip code

  • Multiple charges per service type

  • Multi-user access
  • And many more

Find Your Module Version

To get the most out of your investment, make sure you have the most recent version of each of the modules.

In both modules, go to the Help menu and select About. You will find the software version In the bottom left corner. The current versions are:

Utility Billing: 4.14.2010.2916
Closing Tools: 2.14.2010.2916

If, after checking for updates, your version does not match these numbers, give us a call. We will help you uninstall and reinstall your software before checking for updates again.

Can I Opt Out?

If your install was before January of 2014, yes, you can opt out. However, that means you will no longer receive updates or support for our Utility Billing Module or Closing Tools module. But you can still use the software and get support for QuickBooks and other topics.

Everyone after January 2014 received quotes that mentioned a required upgrade every 3-5 years. This is just a re-formatting of that requirement. Therefore, you cannot opt out and still stay a ClerkBooks customer.

We hope you won’t want to opt out. It is truly our goal to help make your job easier. This small investment will help us do that for you.
