We are still at least 6-12 months away from being able to start data conversions for new customers. However, we want to offer an alternative that may help you get on board sooner. This option is currently only available to cities on our waitlist. This page is not public. It is not in the menu structure of the site. It only available through the link in your email.

This flyer includes two pages. One page is for your Council. It promotes the system with a concise introduction. The second page outlines two data conversion options: waiting for us to do the data conversion for you vs you doing the data conversion yourself. The flyer compares who should consider a self-driven installation, and who should not. Technically, a third option also exists, where you hire a local accountant to do the data conversion with you.

Setting up an accounting system is not for everyone. Data conversion is a time consuming endeavor requiring attention to the smallest detail. It also requires a solid knowledge of GAAP and GASB principals. We want you to be 100% certain that you can complete the task. That is why we provide this comparison, as well as the following checklist.

This spreadsheet is a step-by-step guide for bringing your data into the new system. Each municipality is different. Therefore, the instructions do not cover absolutely every scenario. That is why your quote will include extra Support time to help cover the exceptions for your specific setup. Though you do most of the work, we are here to help you get started, overcome obstacles, and review the finished system. You are not alone.

Service Agreement

As part of your quote, you will be required to sign this Service Agreement. Part of the Agreement is a sign-off stating you have been shown your data conversion options and the instruction checklist. You must indicate that you take full responsibility for the outcome of your data conversion.

Getting A Quote

The next step would be to get an official quote. Even though we are a ways away from scheduling complete data conversions, we are now ready to submit quotes. We can prepare two quotes. One for the full data conversion done by ClerkBooks, and a second quote for self-driven data conversions. (Again, this is only for cities on our waitlist)
